One of the issues being considered at this special meeting is the second reading of “the Agreement between the Lakewood Board of Education, ComDoc and OFFICEMAX ImPress.”

At our last school board meeting, we spent a great deal of time discussing how these vendors will ensure that student confidentiality is maintained, as well as how to ensure that the vendors reviewing student records meet the minimum standards imposed upon our LCS employees (e.g., BCII/FBI background checks).

The special meeting is not videotaped. All are invited to attend.

I'm glad to hear you are having a special meeting regarding this issue. And I thank you personally for bringing up the issue of student confidentiality. I am sure the issue can be resolved but it's wonderful to have the board members being proactive.

Danielle,

As of this reply, not all school board members have reviewed the final, proposed revisions to the “Agreement between the Lakewood Board of Education, ComDoc and OFFICEMAX ImPress.”

As a result, I will be requesting that the Board table voting on this matter until our next regular school board meeting of July 12, 2010. I still anticipate discussion on the matter at tonight’s meeting.

So the schools cannot find a vendor, that will lease/sell the system copiers cheap enough to
offset the cost of driving the files to OfficeMax, while they can pay someone to do it for less!
Never mind leaving boxes of unsecured "protected" documents lying around where who
knows who has access to it?

And some on this board are fighting against transparency and accountability?

Oh 100% transparency is OK when it applies to student's private records but not the
Board handling of the public's business?

Laughable.

Matt,

I was unable to go to the meeting last night, sorry but I chose hanging out at the pool with my kids over another meeting. :D

I am curious how the meeting went, and if any decision was made regarding the contract? Once again I hope that the board is as concern as they should be with the turning over confidential student information to unknown workers.

Also I remember from the meeting back on the 21st that there was discussion that the copy company wanted to keep all talk of the contract private with no public discussion. Once again that is disturbing as contracts that the schools go into with private vendors should be open to public scrutiny.

If you could let us know how the meeting went it would be much appreciated. Thanks in advance.

Thanks for asking.

The Board is working with the vendor to ensure student confidentiality on all records, as well as an understanding that all contracts with the Lakewood City School District Board of Education are indeed public records – no exceptions. As you know, I believe that “the public records laws must be liberally interpreted in favor of disclosure, and any exceptions in the law that permit certain types of records to be withheld from disclosure must be narrowly construed.” 2010 Sunshine Law Manual at page 44, a copy of which can be found at http://www.ohioattorneygeneral.gov/YellowBook. Both Ohio Attorney General Richard Cordray and Ohio Auditor of State Mary Taylor agree.

The Board is hoping to have something from the vendor soon, and we may be scheduling another special meeting on July 1, 2010, to vote on an acceptable agreement.
